Important Information for those living outside the USA who do not hold US Passports

All people travelling to the Annual General Assembly from outside the USA and who do not hold US Passports will be required to either get a visa for visiting the USA or if your country is part of the Visa-waiver program, apply for a Travel Authorisation.

HIV Status and entering the USA

In 2009, the restriction of allowing HIV-positive people into the USA was removed. HIV status is no longer a possible reason for denying entry to the USA and there is no need to get special dispensation from the USA Federal Government.

Visa Waiver Program

The best way to check if your country participates in the Visa Waiver program is to visit the USA Customs and Border Patrol website – https://esta.cbp.dhs.gov. This page not only allows you to apply for a Travel Authorisation but also details many questions regarding the Visa Waiver program – including participating countries.

The good news is that once you have your travel authorisation, it lasts for 2 years so will cover the period of Gay Games 9, meaning you will not need to apply again next year.

Applying for a Visa

Applying for a visa for any country can be a long process. If you are not eligible for a Visa Waiver, then you will need to visit either a US Consulate or Embassy and apply for a visa. The FGG recommends you commence this process as soon as possible to allow as much time to get this complete.

Occasionally, a letter is required from the FGG showing the reason why you are going to the USA. We are happy to supply such a letter to anybody needing one. Please find out exactly what details your local US consulate or embassy wants and write an email to jon.baldan@gaygames.net with all this information. It will take approximately 1-2 weeks to deliver the letter to you with the relevant information contained in it.

For travel to Gay Games 9, you will need a separate letter and separate application to your local US Consulate or Embassy. The letter has to be issued by Cleveland Special Events Corporation as the host of Gay Games 9.

The FGG urges everybody to complete the formalities for entering the USA as quickly as possible to be assured of a smooth entry to the USA.

Cleveland Special Events Corporation has negotiated a deal with United Airlines for travel both domestically and internationally to Cleveland for this year’s Annual General Assembly.

The discount applies to flights booked through United for the period 1 October 2013 – 12 October 2013.

The discount is as follows:

Domestic (USA)

Premium Classes: 10%
(Classes F, A, J, C)

Economy Classes: 5%
(Classes Y, B, M, E, U, H, D, Z, P, Q, V, W, S, T, L, K, G, N)

International

Premium Classes: 15%
(Classes F, A, J, C)

Economy Classes: 10%
(Classes Y, B, M, E, U, H, D, Z, P, Q, V, W, S, T, L, K, G, N) 

Please note that each class of travel will have its own rules regarding changes of bookings, cancellations, refunds etc. It is the responsibility of each person booking a ticket to understand these rules.

You can book flights online at www.united.com and enter the offer code ZPTT320428 in the Offer Code box while searching for flights.

If booking through a travel professional or via United Meetings at 800-426-1122, please give them the following information:

Agreement Code: 320428
Z Code: ZPTT

Outside of the USA, please call your local United Airlines Reservation Office.

Please note the following:

a)    Call your professional travel agency or United Meetings at 800-426-1122 and provide the Z Code ZPTT and Agreement Code 320428. There will be a $25 service fee collected, per ticket, for all tickets issued through United Meetings Reservations. This fee is subject to change without notice. The service fee is nonrefundable and applies to all itineraries, one-way or round-trip.

b)   Travel agencies must list the Z Code in the Ticket Designator Box and Tour Code Box on the ticket. Please refer to the United Meetings Policies and Procedures document for detailed information. For reservation assistance outside the toll-free United Meetings dialing area, contact the local United Reservations Office. Attendees from outside the United States may also request a reservation via email at NHC-Int.meetingworks@coair.com (Please allow 24 hours for requests to be processed).
